LEGAL & PRIVACY
Privacy Policy
Effective Date: October 26, 2026
This policy outlines Shield Forensics International's practices regarding the collection, use, and protection of your personal and case-related information, with due consideration for our operations. Your trust is paramount to us.
1. Our Commitment to Your Privacy
Shield Forensics International ("we," "our," or "us"), operated by Shield Forensics and IT International Limited, is committed to protecting your privacy and maintaining the confidentiality of your information. This Privacy Policy details how we collect, use, process, disclose, and safeguard your information when you visit our website (the "Site"), engage with our forensic services, or otherwise interact with us. This policy sets out how we handle personal data with reference to Kenya's Data Protection Act 2019. We urge you to read this Privacy Policy thoroughly. By accessing our Site or utilizing our services, you acknowledge and agree to the practices described herein. If you do not agree with these terms, please refrain from accessing the Site or using our services.
2. Information We Collect
We may collect personal identification information (PII) from you in various ways, including, but not limited to, when you visit our Site, register for updates, fill out a contact or case submission form, correspond with us via email or phone, or engage our forensic services. The PII we may collect includes:
- Contact Data: Name, email address, postal address (for physical correspondence), phone number (including relevant country codes).
- Professional Data: Job title, company name, industry (if applicable, particularly for corporate clients in the region).
- Case-Related Data: Information and evidence you provide relevant to a forensic investigation (handled confidentially for the purposes of the engagement).
- Technical Data: IP address (which may indicate your general location), browser type, operating system, referring URLs, pages visited, and dates/times of access when you interact with our Site. This is collected in the server logs of our network provider (Cloudflare) and our website host.
We also collect non-personal identification information (Non-PII) about users whenever they interact with our Site. Non-PII may include aggregated data, such as analytics on website traffic patterns, which does not directly identify any individual.
3. How We Use Your Information
We use the information we collect for various legitimate business purposes, including:
- To provide, operate, maintain, and improve our website and forensic services tailored to regional market needs.
- To personalize and enhance your experience on our Site.
- To understand and analyze how you use our website and services to inform development of new offerings.
- To communicate with you: respond to inquiries, provide customer service, send updates regarding your case (if applicable), deliver information about our services, and for administrative purposes.
- To process transactions and manage client engagements locally and internationally.
- To comply with legal obligations (including applicable Kenyan law), resolve disputes, and enforce our agreements.
- To detect, prevent, and address fraud, security breaches, or other potentially prohibited or illegal activities.
- For marketing and promotional purposes, where consent has been obtained or as permitted by law (e.g., newsletters you opt-in to receive, with content relevant to our audience).
4. Sharing and Disclosure of Your Information
Shield Forensics International does not sell, trade, or rent your personal identification information to third parties for their marketing purposes. We may share or disclose your information in the following limited circumstances:
- With Service Providers: We may share information with trusted third-party vendors, consultants, and other service providers who perform services on our behalf (e.g., secure data hosting, payment processing, IT support, partner laboratories), only to the extent needed to deliver the service and subject to confidentiality obligations.
- Website Delivery and Security (Cloudflare): Our website is delivered through Cloudflare, a network and security service. Requests to the Site, including your IP address, browser details and the messages you send through the chat assistant, pass through Cloudflare's servers, which may be outside Kenya. Cloudflare may set a short-lived security cookie to help distinguish visitors from automated traffic.
- AI Chat Assistant (Google): If you use the "Forensic Assistant" chat on this website, the messages you type (and the earlier messages in that conversation) are sent to Google's Gemini API to generate a reply. Google processes these messages on its servers, which may be outside Kenya, under its API terms and privacy policy. The assistant currently uses Google's unpaid Gemini API service. Under Google's terms for that service, Google may use messages and replies to improve and develop its products and machine-learning technology, and human reviewers may read them. For this reason the assistant is not offered to visitors in the European Economic Area, Switzerland or the United Kingdom. We do not store chat conversations on our servers. Please do not enter personal data, case details or evidence in the chat; contact us directly for confidential matters.
- Website Security Reports: Your browser may automatically send us a short technical report when a page loads content that our security policy does not expect. We keep only the type of rule involved, the page path (without any query string) and the origin of the content; we do not record your IP address, cookies or browser details in these reports. They are kept in our hosting provider's server logs for troubleshooting.
- For Legal Reasons: We may disclose your information if required by local law, subpoena, or other legal process, or if we believe in good faith that disclosure is necessary to protect our rights, protect your safety or the safety of others, investigate fraud, or respond to a government request.
- Business Transfers: In the event of a merger, acquisition, reorganization, bankruptcy, or other sale of all or a portion of our assets, your information may be transferred as part of that transaction, subject to standard confidentiality provisions.
- With Your Consent: We may share your information with other third parties when we have your explicit consent to do so.
- Aggregated or Anonymized Data: We may share aggregated or anonymized demographic and usage information, which cannot reasonably be used to identify you, with partners or for research purposes.
5. Security of Your Information
We implement administrative, technical, and physical security measures designed to protect your personal information from unauthorized access, use, alteration, and disclosure. These measures include treating case material as confidential and keeping a chain-of-custody record for submitted evidence. While we take reasonable steps to secure your information, please be aware that no security system is impenetrable.
6. Your Data Protection Rights
Under Kenya's Data Protection Act 2019 and other applicable data protection laws, individuals have rights regarding their personal data, which may include:
- The right to access – You have the right to request copies of your personal data.
- The right to rectification – You have the right to request that we correct any information you believe is inaccurate or complete information you believe is incomplete.
- The right to erasure (or "right to be forgotten") – You have the right to request that we erase your personal data, under certain conditions.
- The right to restrict processing – You have the right to request that we restrict the processing of your personal data, under certain conditions.
- The right to object to processing – You have the right to object to our processing of your personal data, under certain conditions.
- The right to data portability – You have the right to request that we transfer the data that we have collected to another organization, or directly to you, under certain conditions.
- The right to lodge a complaint with a supervisory authority (in Kenya, the Office of the Data Protection Commissioner, www.odpc.go.ke).
To exercise these rights, please contact us using the details provided below. We will respond to your request in accordance with applicable data protection laws.
7. Cookies and Tracking Technologies
This Site does not set advertising or analytics cookies. Our network provider, Cloudflare, may set strictly necessary security cookies (for example __cf_bm, which expires after 30 minutes of inactivity) to protect the Site from automated abuse. You can block cookies in your browser settings. If we add analytics or other non-essential cookies, we will update this policy first and ask for your consent where the law requires it.
8. Changes to This Privacy Policy
Shield Forensics International reserves the right to update or modify this Privacy Policy at any time. When we do, we will revise the "Effective Date" at the top of this page. We encourage Users, particularly our clients in the region, to frequently check this page for any changes to stay informed about how we are protecting the personal information we collect. You acknowledge and agree that it is your responsibility to review this Privacy Policy periodically and become aware of modifications.
